HCYSA Volunteer Opportunities

 

HCYSA is operated by a team of enthusiastic volunteers who are committed to delivering and supporting positive soccer playing opportunities to Hart County and surrounding area children. The experience of volunteering in HCYSA is enjoyable and very rewarding. Please look over the following list of HCYSA volunteer opportunities. Find a position that best suits your abilities and fits into your schedule — and please get involved.  

PRESIDENT: 
Shall be the principal Executive Officer of the HCYSA and shall in general supervise and control all of the business and affairs for HCYSA subject, however, to the control of the Board and the Bylaws; Shall preside over all meetings;  Shall appoint all temporary committees; Shall appoint an auditing committee for the Treasurer's books. The appointment of the committee shall be made sufficiently prior to the annual meeting so that the committee report may be read at the meeting;  Shall represent the league on all matters pertaining to the city government and parks and recreation department;  Shall coordinate clinics and instruction for referees and linesperson to meet league standards and state standards;       Shall from time to time review the performance of referees and linespersons, grading the same; may classify the referees and linespersons. He/she shall serve as communicator between referees/linespersons and the Board;  Shall coordinate with the Age Group Commissioners league game scheduling and appoint referees for all games;  Shall secure prospective referees and linespersons and provide training;  Shall propose any local rules for the League. Proposal shall be submitted to the Board, explaining the benefit from such changes. He/she shall bring up-to-date any change in the laws of the game and interpret the FIFA rules. All changes must be approved by the Board of Directors;  Shall appoint assistants, as desired;  Shall have the power to enforce the laws of the game and provisions of the HCYSA rules;  The President is to be elected to a four- year term and will be elected on odd years.

TREASURER: 
Shall be responsible for the leagues funds.  Shall collect or arrange for the collection of money earned by the league.  Shall deposit money in the bank determined by the board.  Shall send a 2 copies of the bank account each month by mail;  one to the president and one to a random board member.  Shall be responsible for preparing and filing all financial records and reports for the League as required by law; and in general, shall perform all duties incident to the office of the Treasurer and discharge such other duties as may from time to time be assigned to the Treasurer by the Board or President and have such other power as may be prescribed by the Bylaws. The Treasurer shall be elected to a two- year term each even year

AGE GROUP COMMISSIONERS:
Determine team size, Form teams with Registrar, Determine vs/vs, Determine travel or not,  Work with Scheduler on all schedules,  Any changes to schedules or teams (or any for that matter) will go to the AGC for input and approval,  Shall be in charge of the technical aspects of the league,  Shall help secure coaches for teams and provide the list to the Board of Directors for approval prior to the formation of teams, Shall serve as communicator between coaches and the Board of Directors on administrative and program matters,  Shall conduct coach meetings prior to each season,  Shall have the power to enforce the laws of the game and of the League,   Shall be the official representative and point of contact for their respective division,  Shall coordinate with the Board concerning playing rules for their respective division and assure that these rules are understood by the coaches and used consistently throughout the season,  Shall coordinate with their respective coaches to monitor and evaluate their conduct.  The Age Group Commissioners shall be elected to a two- year term each odd year election. 

PARENT REPRESENTITIVE:
Shall be the voice of the parents to the board, Shall be available to all parents,  Shall bring concerns, suggestions or any information to the board meeting for review,  Shall attend all Parent meetings, The Parent Representative shall be elected to a two- year term each odd year election.  

DIRECTOR OF CONCESSIONS:  
Shall be responsible for keeping the concession stand stocked with food and drink;   Shall be responsible for purchasing all items to be sold in the stand;  Shall be responsible for opening the concession stand on the day of the games;  Shall be responsible for contacting all volunteer workers and communicate their work times;  Shall be responsible for filling vacancies in the concession stand;  Shall be responsible for closing the concession stand or finding a designated board member to do so;  Shall be responsible for passing money to Treasurer.   The Director of Concessions shall be elected to a two year term each even year election.  

REGISTRAR:
Shall maintain a register of the mailing addresses of each member of HCYSA;  Shall register HCYSA members and certify the registration as required;  Shall maintain all records regarding the registration of teams and players of HCYSA;  Shall provide each coach with a team roster;  Shall oversee the team formation procedures in accordance with HCYSA Team Formation Rules.  The Registrar shall be elected to a two year term on each odd year election.  

DIRECTOR OF PUBLIC RELATIONS/SECRETARY: 
Shall be responsible for all advertising for various events that require such; Shall attend all meetings of the Board of Directors, and shall record all the votes and minutes of the meetings of the Board in a book or books and records and reports properly kept and filed by the League as required by law; and;  In general, shall perform other duties as may from time to time be assigned by the Board or President and have such powers as may be prescribed by these Bylaws. In the event that the Secretary in unable to attend a meeting of the Board of Directors, the presiding officer shall appoint a person to record all of the votes and minutes of the meeting. Within a convenient time following the meeting, the records shall be given to the Secretary for retention and filing.  The Director of Public Relations/Secretary shall be elected to a two year term each even year election.  

DIRECTOR OF SUPPORT
 Shall be responsible for securing equipment: uniforms, goals, soccer balls, nets, and keeping inventory of same. Shall be responsible for any other general maintenance items;   Shall be responsible for selecting a photographer, creating picture schedule, distributing pictures and any other activity that pertains to pictures;  Shall coordinate all activity as it relates to fundraisers. 

DIRECTOR OF FIELDS
Shall be responsible for seeing that all fields are lined and mowed;   May select lawn care company as he/she see fit;    Will communicate to the Director of Support of any items needed to maintain fields i.e. paint, nets, goals etc.

SCHEDULER
Responsible for creating and distributing game schedules for the entire league.  Responsible for working with other leagues as necessary to schedule games with other leagues. 

Head Coach
Coach, mentor and role model for children just beginning soccer, as well as, children with advanced levels of soccer playing experience. HCYSA coaches focus more on player development than team development. Ultimate goal is to provide children an enjoyable experience playing soccer, leaving them with a desire to return and play each season. Kentucky Youth Soccer Association coaching certification courses are provided free of charge to all coaches. Time commitment depends on number of practices held during weekdays. (Requires 3 to 6 hours per week during a season)

Assistant Coach
Assists the head coach with running practices and coaching games. Opportunity to get more involved with your child's soccer experience and learning the basics of coaching youth soccer. Time commitment depends on number of practices held during weekdays. (Requires 3 to 6 hours per week during a season)

Team Parent:
Assists the head coach in organizing the team , makes phone calls to parents, recruits concession stand volunteers, makes snack schedule assignments and organizes end of season party. (Requires 1 hour or less per week during a season)

Concession Stand Worker:
Volunteers that help with the operation of the concession stand as scheduled. No experience required. (Requires 1 or 2 hour per shift, one or two shifts per season)
